Assistant Maintenance Manager

POSITION TITLE:    Assistant Maintenance Manager

SUMMARY: The Assistant Maintenance Manager is responsible for managing the daily operations of building maintenance, preventative maintenance and groundskeeping for SUNY Adirondack, including (but not limited to), supervising approximately 10 employees and overseeing contracted services, and will work with the Associate Director of Facilities to ensure that campus facilities and operations run smoothly and efficiently.   

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Responsible for daily operations of the Maintenance department, including providing planning, coordination and supervision for all maintenance department activities and personnel (skilled and unskilled).  Duties include but are not limited to: receiving and assigning priorities to staff via electronic work order system; keeping daily time and material records; performing regularly scheduled inspections of buildings and properties to ascertain repair needs; inspecting and providing approval for mechanical maintenance and construction work performed by employees or private contractors; supervising and assisting in repairs to plumbing, heating and air conditioning equipment, electric wiring and equipment, furniture, doors and windows, hardware, and mechanical equipment and machinery; implementing a preventative maintenance program;
  • Responsible for daily operations of the Groundskeeping department, including providing planning, coordination and supervision for all groundskeeping department activities and personnel (skilled and unskilled), including snow removal and associated grounds activities.
  • Budgetary authority includes responsibility for submitting purchase order requests for materials necessary to complete assigned work.  Prepares specifications for equipment purchases and repair projects.  Prepares budget estimates for department activities.  Audits repair and maintenance bills and contracts.
  • Is responsible for control over college-issued departmental equipment.
  • Is responsible for the proper operation of and ensures maintenance of all maintenance systems, including vehicles.
  • Authority to recommend/implement policies within the area of responsibility.  Limited authority to grant exceptions within established parameters. 
  • Coordinates the maintenance and custodial operations for all special events on campus.
  • Assures all federal, state and local building and fire code regulations are followed in the performance of work undertaken by staff and outside contractors.
  • Must be available for emergency call in and/or dissemination of staff for facilities emergency response.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

  • Supervises a team of approximately 10 employees; and part time help when needed.
  • Provides annual evaluations of direct reports.
  • Assists in the hiring and disciplinary process for direct reports.

WORKING RELATIONSHIPS:      

Must establish and maintain an effective working relationship with the campus community.

Contacts with: Internal and external members of the campus, community and SUNY system including but not limited to:

  • Campus employees and students
  • External contractors, vendors and building owners
  • Adirondack Housing Association facilities staff
  • Local and state code enforcement officers

MINIMUM QUALIFICATIONS:  

Associates degree in business administration, or equivalent required.  Five years of full-time, paid experience related to facilities management (educational building experience preferred), two years of which must have included supervisory duties and planning and coordination of work; or

Five years of experience as a general contractor involving a full range of construction work including electrical and plumbing experience, at least two years of which must have included supervision of workers engaged in construction, repair or maintenance of large commercial buildings; or

Five years of full-time, paid experience in building maintenance and repair involving a large building or complex with full responsibility for all construction, maintenance and repair activities, at least two years of which must have included supervisory planning and coordinating duties; or

Any equivalent combination of experience as defined above.

KNOWLEDGE, SKILLS, ABILITIES AND WORKER CHARACTERISTICS:

The successful candidate will possess strong planning, coordination, communication, and supervisory skills.  Must have the ability to prioritize work load and assigned tasks, work independently and with a team, problem solve, troubleshoot, and exercise good judgment.

Must have: a working knowledge of NYS building and fire code and must be proficient in knowledgeable in electrical, plumbing, carpentry and HVAC trades; a thorough knowledge of modern building maintenance, repair and construction practices; skill as a general mechanic and ability to inspect and evaluate the work of building tradesmen; familiarity with the operation and maintenance of HVAC systems; ability to read blueprints;

WORKING CONDITIONS:  

Typical construction environment, majority of work is performed on feet, daily use of computer and telephone, good hand and eye coordination, frequent lifting or carrying objects up to 50 lbs, occasional travel between facility locations or for conferences, ability to follow oral and written instructions.
